What If Your Next Hire Wasn’t Human at All?

Most small and mid‑sized businesses are still carrying a lot of “task work” inside their key roles. You hire smart people for judgment, relationships, and execution—then watch them burn hours on formatting, data entry, and playing email ping‑pong. In a world of rising wages and benefits, that math no longer works. This is exactly where AI can assist. 

Here are a few tasks to consider:   

  • Inbox triage and routine email drafting:  Business leaders and owners should not be spending their best brainpower on “thanks, got it” emails or manually turning long threads into action items.  AI can:
    • Summarize long email chains into a short “who/what/when”
    • Draft first‑cut replies to common questions
    • Propose follow‑up tasks and reminders
  • Meeting notes, summaries, and follow‑ups – How many meetings end with good intentions and no paper trail? Instead of hiring another coordinator to keep everyone organized, you can give the team an AI assistant that does the first 80% of the work. 
  • Document drafting and first‑pass editing – Think about all the “version 1” documents in your business: internal memos, job descriptions, simple proposals, policy updates, FAQ sheets. AI is ideal for:
    • Producing a first draft based on your bullet points or a prior example
    • Adapting a template to a new client, project, or role
    • Cleaning up grammar, structure, and tone
  • Data entry, basic reporting, and chasing numbers – If someone is retyping information from one system into another, you are leaving money on the table. AI tools and simple automations can:
    • Extract key fields from invoices, receipts, and forms
    • Match and categorize transactions
    • Build routine dashboards or weekly reports from your existing data

How to put this into practice this week – Pick one role—not one person—to redesign. List the tasks that take the most time but require the least judgment. Then ask: “Could AI do the first draft or first pass here?” Anywhere the honest answer is yes, you’ve found a place where AI should take the first shift.  Over time, that’s how you grow output without automatically growing headcount.
